My name is Kevin Manley, and I’m the Brokerage Administrator for Bay Cities Brokerage, which is owned by the Metro West family of companies. And we are the non-emergency medical transportation brokerage for the Umpqua Health Alliance CCO for Douglas County.

Today I’m going to be talking about the Novus Med product by TripSpark, and how it has been a great thing for us.

We currently average about 210 trips per day, as well as operating about 5000 trips a month in all different modes of transportation – if it’s, from wheelchair vans, to stretcher vans to secure transport, fixed route buses and we also even offer mileage reimbursement for those that want to take their own vehicle and we will pay back their gas mileage.

The old system that we were using, wasn’t necessarily designed for a brokerage. It was designed to be a dispatch center. Before we went to Novus, I worked 7 days a week. I’d have to make sure and come in on my Saturdays and Sundays and make sure I get the manifests out to all the drivers, and that’s a timely process.

So the good part is, now the providers can log in and they can view the schedule for next week. And that was one of the biggest hits for switching over to Novus. And the other part was also the billing, it was very easy to go in and open an itinerary under your TripBroker module and fill out the information and be done with it. It was very simple, very user friendly, and billing got done – what took one week before, we’re able to do in a single day.

The claims module has definitely improved our billing process – from when we started doing things from CAD to now. It would literally take 20, 30 minutes just to generate a batch file, but now with the claims module in Novus-Med, maybe 10-15 seconds. With the claims module, if there is any type of errors that come up with a trip, if it’s anything from a missing modifier to a zip code, it will actually display what is missing, with the booking ID that you need to fix. You fix whatever you need to do, and save it and move on to the next one. So it’s very nice, it’s quick, efficient and it tells you what is wrong.

With TripBroker, I can go in there and we get everything assigned out for the week and even if there’s a change to a client, they call us after we’ve already assigned it, we make a change to their manifest, it will bring up a menu that says ‘update’ and so we click the update button and it would in real time, let the provider know that we have updated something. Having real-time updates, it means a lot to everyone. Because it’s less phone calls that we have to do, and that’s more time that we are having to focus on the clients.

With Novus everything is customizable, literally everything. When we first started getting things rolling we needed to get a specific report sent to Umpqua Health Alliance in a specific manner. And all I did to get that done, is I sent an email to Nadia and I was like “hey, I need to get this done” and she replied and said “easy, let’s do it”.

If I want to move a menu or add something over here, I can use that configuration menu and change the way something is viewed. I can add a box, take away a box, and it’s awesome, because now we can set it up to how we want to work and the flow that we go.

For any NEMT brokerages that are looking for a particular set of software that needs to be moulded or shaped to their business profile, definitely Novus and TripSpark is going to be the way to go.
